What to Put in a Receipt-Review Reply

Use a verified detail and a realistic next step in a review reply. Examples cover a delayed latte, a sandwich compliment, and a disputed order.

October 8, 2026

A good owner reply shows that someone read the review, checked what happened, and chose a next step. A generic “Thanks for your feedback” can feel dismissive when a guest has described a specific problem. Before replying, compare the review with the order record and the team’s shift notes so the answer stays accurate even if another person takes over.

For a complaint, name the issue and the action

Say a guest writes, “My latte took ages and it was already lukewarm.” If the order log confirms a delay during the lunch rush, a useful reply might be: “We’re sorry you had to wait. We checked the order and confirmed that drinks were running behind during lunch. We’ll review how pickup orders are called so the same delay is less likely next time.” It acknowledges the experience, states what the shop verified, and promises a step the team can actually take.

For praise, mention what the guest enjoyed

If someone writes, “The basil tomato sandwich tasted so fresh,” reply to that detail: “Thanks for stopping by. We’re glad you enjoyed the basil tomato sandwich. We’ll keep preparing the ingredients with care.” Naming the item makes the reply feel personal without claiming every guest will have the same experience. There is no need to add “the best” or “guaranteed to please.”

When a detail is disputed, protect private information

If the review seems to describe a different order, do not post a customer’s name, receipt number, or other identifying details in public. You could say, “We’d like to check this carefully. Please contact the shop and share the approximate visit time so we can look into it.” Move the detailed check to a private channel, and do not deny the guest’s account before reviewing the records.

Do not offer a benefit in exchange for deleting a review or changing its rating. If a review was connected to a promotion or other benefit, do not present it again as an ordinary independent review. Check the platform’s current rules for how that relationship should be disclosed.

Read it once before posting

Check that the reply addresses something the guest actually said, separates verified facts from assumptions, and makes a promise the team can keep. “We’ll never make you wait again” is hard to guarantee; “We’ll review how lunch orders are called for pickup” is a concrete action. Share a few approved examples with the team so guests receive the same level of care whichever staff member replies.

FAQ

Frequently asked questions

Thanks only, from the star?

Name the specific issue, state what you verified, and offer one action the shop can take, such as reviewing how lunch orders are called for pickup.

Can we ask them to delete?

No. Keep the public reply focused on resolving the issue; never trade a benefit for a deletion or a higher rating.

We ran a review event?

Disclose the promotion or other connection as required by the platform’s current rules. Do not repost it as an ordinary independent review.

Another guest’s receipt number?

No. Ask the guest to contact the shop privately with only the details needed to check the visit.

Same screen as a reservation review?

Use the owner reply area for the service where the review was posted, and follow that service’s guidance for reservations or orders.
